Managing Fleet Is Not Your Main Role Within the Business

Managing Fleet isn’t your main role within the business. Where should you start? A quick blog about managing tasks when this is not your main role.

Have you ever been given a task at work that isn’t in your job role or key responsibilities?

In the last few months, you’ve been handed a big job by your boss and been tasked with taking responsibility for managing your company fleet of vans. You know that a fleet of vans needs to be managed, but you’re not quite sure where to start or what this entails.

Entering the world of fleet management means you must look at things a little differently than before.

Larger companies often have a full-time vehicle fleet manager whose sole responsibility is the efficient running of the vehicle fleet on a day-to-day basis.

Other, often smaller businesses may add the function of the vehicle fleet manager to that of another job role or department, such as human resources, administration or secretarial, depending on the number of vehicles involved and the scale of the business.

Let’s take this scenario for instance:

A small engineering company that has eight engineers on the road, that are expanding and need to add another couple of vans to the Fleet.

The person who had the responsibility of the fleet has recently retired and now the company are looking for somebody to take on the task.

They select YOU!!

You have been with the company a few years and have shown good organisational skills within the office.

But you know nothing about running a fleet of vehicles.

Where do you start?

You ask your direct office manager where did the retired person keep all the Fleet documentation?

“Oh, it’s in the cupboard in the other office”

You go into the other office and find that the vehicle files are basically a storage box of paper sheets.

You begin to realise that this task maybe a bit more involved than first imagined.

Being a determined individual, you resolve yourself the task of getting the whole Fleet up to speed and start by trying to organise what you have and identifying what’s missing.

But how?

You don’t want to look unintelligent so in the modern world you go to your computer terminal and search for help.

You are then bombarded with information overload.

You then discover the myriad of corporate compliance and responsibilities the company must abide by.

The role is growing….

You need help…

If you are an office manager, assistant or similar administrative position at a commercial or private business that utilises vehicles, chances are you’ve had to take on some extra duties. The good news about this is that it means your company trusts you. The bad news is that you must be equipped with the correct tools if they’re going to keep asking you to do more.

When you are looking at fleet management software to help your company manage its vehicle fleet, it is important to think about the true motivations for purchasing this software. You want to be sure that fleet management doesn’t need to become your main role within the business – it is simply another tool that will help you do the task you have been given better.

You want peace of mind that everything is covered and stored in one easily accessible location. (not in the dusty cupboard in the other office).

Below are a few quotes from our clients that we have taken on this exact journey.

“When I was first asked to become responsible for my fleet of vans, I was a tad taken aback. I didn’t know where to start and vans were certainly not my main role within the business”.

“When I was asked to take over the responsibility of the fleet, I didn’t know where to start. It’s a topic that doesn’t involve my main role in the company”.

“When I was first asked to be “fleet manager for the vans,” I was worried. I didn’t think I could do it, and that isn’t my job”.

In this short video below, we explain how Fleetcheck can help and how we guided our clients through their journey to compliance and peace of mind.
